Vendors will receive an email with location and setup details before the event.
Vendor Application & Fees: Please read this section carefully. Incomplete Applications will not be accepted.
Merchandise Vendor Fee: $50 per 10'x10' booth space. This is a flat entry fee, and the Downtown Stillwater Association will not collect a percentage of your profits.
Merchandise vendors must supply an EIN or SSN. No application will be complete without this information and no agreement is accepted in its absence. No refund will be given for failure to provide proper documentation.
Mobile Food Vendor Fee: $75 per 10'x10' booth space, $125 for a food truck/trailer space, or $175 for a trailer & pull vehicle space. This is a flat entry fee, and the Downtown Stillwater Association will not collect a percentage of your profits.
Mobile food vendors must submit copies of the proper Food Vendor City of Stillwater License and Certificate of Liability Insurance. No application is complete without these items and no agreement is accepted in their absence. No refund will be given for failure to provide proper documentation.

Vendor FYI:
Self-contained. Electricity and water will NOT be provided.
Merchants are solely responsible for everything necessary to operate their booth. (EX: texts, chairs, tables, merchandise, etc.)
All trash and debris must be cleared from the event area when the event closes.
Generator noise output must be limited to 75dB. The City of Stillwater provides a safe environment for its residents. To prevent hearing loss due to the exposure of high noise levels and to provide guests with a more desirable event environment, all vendors must limit the noise output from portable generators to 75dB. City of Stillwater staff will be glad to assist vendors in this effort by measuring the noise output using a Permissible Noise Dosimeter and offering suggestions.
No open flames are permitted.
Only one vendor per merchandise vendor space permitted.
Only one food vendor is permitted per food vendor booth, food truck, or trailer & pull vehicle space is permitted.
Booths, food trucks, or trailers may NOT be removed until the event concludes. Event staff will release vendors after 10 p.m.
Vendors must submit all required documentation with the Vendor Application.
All decisions made by the Downtown Stillwater Association are final.
The President of the Downtown Stillwater Association will contact you if the event is canceled due to inclement weather. Cancellation due to weather will only occur in life-threatening conditions.
NO refunds are provided for no-shows or cancelled event. The Downtown Stillwater Association is a 501(c)(3), and your paid entry fees are considered a donation.
The Downtown Stillwater Association will not be responsible for any loss or injury, which may occur due to acts of God, illness, or the negligence or intentional acts of third parties. Vendors are solely responsible for obtaining all permits, licenses, and certificates of liability.
